A customer describes a symptom to you, not necessarily a part. Your role is to translate a verbal description into a precise part reference. To do this, you must:

Ask open-ended questions: "What noise do you hear?", "How often does the problem occur?"
Use closed-ended questions to confirm: "Is the vehicle a 2022 model?"
Restate the request to validate understanding: "So, you need the crankshaft position sensor, OEM number 12345678, is that correct?"

Active listening: do not interrupt, take notes, and repeat key information (serial number, year, make, model). A communication error costs time and money, and can result in an incorrect part.

Customer and Vehicle Identification

Before any transaction, you must gather the following information:

Basic calculation: Unit price × Quantity = Subtotal. Subtotal × Tax rate = Tax amount. Subtotal + Taxes = Total.

Example: A part costs $120.00, quantity 2, in Ontario (HST 13%).

Subtotal = 120.00 × 2 = $240.00

HST = 240.00 × 0.13 = $31.20

Total = 240.00 + 31.20 = $271.20

Trade discount: Often expressed as a percentage. If a 10% discount is granted, the net price = gross price × (1 − 0.10). Then apply taxes on the net price.

Quantity discount: Some suppliers offer reductions for purchasing multiple units. For example, 5% discount for 10 or more parts. The calculation is done on the subtotal before taxes.

Invoicing and Sales Documents

An invoice must contain:

Unique invoice number
Transaction date
Customer name and address
Detailed description of each part (OEM number, description)
Quantity, unit price, total price
Itemized taxes (GST, PST/HST)
Payment terms (net 30 days, etc.)
Customer purchase order number (if applicable)

Purchase order: Document issued by the customer before the purchase. It is essential to verify that the part numbers on the purchase order match those you will supply. Any discrepancy must be reported immediately.


Managing Returns and Exchanges

Standard Return Policy

Policies vary by dealership or store, but the general principles are:

Return window: typically 30 to 90 days.
Condition: the part must be in its original packaging, uninstalled, and undamaged.
Proof of purchase: receipt or invoice required.
Electrical parts: often non-returnable once opened (for safety reasons).
Special-order parts (ordered specifically for a customer): non-returnable, unless defective.

Defective Parts and Warranties

The warranty is a legal and contractual obligation. In Canada, provincial consumer protection legislation and the Civil Code of Quebec (for Quebec) impose a legal warranty of quality. However, for the Red Seal exam, you must know the general principles:

Manufacturer's warranty: covers defects in materials and workmanship for a specified period (e.g., 12 months).
Extended warranty: sold separately, extends coverage.
Claims process: the customer presents the defective part, the technician verifies the purchase date and part number, and completes a claim form with the manufacturer.

Example of pro-rata calculation: A battery has a 60-month warranty. If it fails after 24 months, the refund is calculated pro-rata: (60 − 24) / 60 = 60% of the original price. If the battery cost $150, the credit is $90.

Supplier Return Procedure

65.Obtain a Return Merchandise Authorization (RMA) number from the supplier.
66.Package the part properly, with a copy of the original invoice.

Common pitfall: Returning a part without an RMA results in supplier refusal. Always document.


Selling Parts and Complementary Services

Upselling and Cross-Selling

The parts technician should recommend complementary products to improve customer satisfaction and safety.

Examples:

Selling an oil filter: recommend engine oil, the drain plug gasket, and a new drain plug.
Selling brake pads: recommend rotors, brake fluid (DOT 3, DOT 4), and wear sensors.
Selling a timing belt: recommend the water pump, tensioner, and pulleys.

Golden rule: Never recommend an unnecessary part. Customer trust is paramount. An inappropriate recommendation harms your reputation and can cause mechanical damage.

Calculating Profit Margin

The technician must sometimes calculate the selling price from the purchase cost. The margin is the percentage of the selling price that represents profit.

Margin = (Selling price − Cost) / Selling price × 100
Markup = (Selling price − Cost) / Cost × 100

Example: A part costs $80 to the dealership. The selling price is $120.

Margin = (120 − 80) / 120 × 100 = 33.3%

Markup = (120 − 80) / 80 × 100 = 50%

Application: If the dealership applies a standard markup of 40%, the selling price = Cost × (1 + 0.40) = 80 × 1.40 = $112.


Canadian Standards and Regulations

Canadian Electrical Code, Part I

Although this code applies primarily to electricians, the parts technician sells electrical components (alternators, starters, sensors). You must know the basic safety requirements. Rule 2-024 of the Canadian Electrical Code, Part I deals with the identification of conductors and terminals. For automotive parts, this means that connectors and wires must be properly identified to avoid polarity reversals.

CSA B149.1 — Natural Gas and Propane Code

This code applies to vehicles powered by compressed natural gas (CNG) or propane. The parts technician may sell regulators, valves, and injectors. Clause 6.2 of CSA B149.1 specifies requirements for fuel components: they must be CSA-certified and never modified. Selling a non-certified part for a gas system is a serious offence.

Motor Vehicle Safety Regulations (MVSR)

Practical rule: If the customer asks to speak to a supervisor, never refuse. It is the customer's right and a normal procedure.

Calculating Engine Displacement

Engine displacement is calculated using the formula:

Displacement = (π × bore² × stroke × number of cylinders) / 4

Where:

π ≈ 3.1416
bore = cylinder diameter (in cm)
stroke = distance travelled by the piston (in cm)

Example: A 4-cylinder engine with a bore of 8.5 cm and a stroke of 9.0 cm.

Displacement = (3.1416 × 8.5² × 9.0 × 4) / 4 = 3.1416 × 72.25 × 9.0 = 2042.8 cm³ ≈ 2.0 L

This calculation is useful for identifying the exact engine and therefore the corresponding parts.

Final Drive Ratio

The final drive ratio is the ratio between the number of teeth on the ring gear and that on the pinion gear. It influences the selection of transmission parts.

Ratio = Number of ring gear teeth / Number of pinion gear teeth

Example: Ring gear with 41 teeth, pinion with 10 teeth: ratio = 41 / 10 = 4.10:1. This ratio is used to order the correct speed sensor or pinion gear assembly.


Inventory Management and Special Orders

Reorder Point and Safety Stock

The technician must know the basics of inventory management to avoid stockouts.

Reorder point = (Average daily demand × Lead time in days) + Safety stock

Example: An oil filter sells an average of 5 units per day. The supplier's lead time is 4 days. Safety stock is 10 units.

Reorder point = (5 × 4) + 10 = 30 units. As soon as stock reaches 30, an order is placed.

Special Order (Non-Stocked Part)

When a part is not in stock, the technician must:

Know your taxes: Rates can change. On the exam, rates will be provided or clearly indicated. Do not memorize them by heart, but know how to apply them.
Distinguish margin and markup: This is a classic error. Margin is calculated on the selling price, markup on the cost.
Practice displacement calculations: A typical question asks you to calculate displacement from bore and stroke.
