Introduction to the Communication and Documentation Module
The trade of cabinetmaker is not limited to mastering wood and machines. On the jobsite or in the shop, you must convey precise technical information to clients, architects, engineers, and other trades. A communication error costs time, materials, and reputation. This chapter covers all the communication and documentation skills required by the Red Seal for the interprovincial exam.
You must master three main areas: reading and interpreting technical documents (drawings, specifications, contracts), oral and written communication (with clients and colleagues), and production documentation (work orders, cut lists, reports). Each section below corresponds to a task assessable on the exam.
Interpretation of Drawings and Specifications
Types of Drawings Used in Cabinetmaking
The cabinetmaker works from several types of drawings. You must know how to distinguish them and use them correctly.

On the exam, you will often be shown a detail drawing and asked to identify a missing dimension or a type of joint. The golden rule: always check the scale indicated in the title block before reading any dimensions. If the scale is absent, never measure directly on the drawing — use the written dimensions.
Standardized Symbols and Annotations
The International System of Units (SI) is the standard in Canada. Dimensions are in millimeters (mm) on shop drawings. The following symbols appear frequently:
Finish annotations use standard abbreviations: SANDED (grit 120, 180, 220), VARNISHED, OILED, STAINED. A specification of "SANDED 220" means a final sanding with 220 grit before finishing.
Dimension Lines and Tolerances
Dimensions on a shop drawing are theoretical. The standard tolerance in furniture cabinetmaking is ± 1 mm for visible dimensions and ± 0.5 mm for joints. For moving parts (drawers, doors), the clearance tolerance is 1.5 to 2 mm around the perimeter.
Red Seal Rule: when a dimension is given with a decimal (e.g., 12.5 mm), the implied tolerance is ± 0.5 mm. Without a decimal (e.g., 12 mm), the tolerance is ± 1 mm. This distinction is a classic exam trap.
The Title Block and Parts List
The title block contains: the project name, drawing number, scale, date, drafter's name, and revision. The parts list (bill of materials) identifies each item with a reference number. Example:

On the exam, verify that the sum of the partial dimensions corresponds to the overall dimension. A discrepancy of 1 to 2 mm is normal (assembly clearance), but a 5 mm discrepancy indicates a reading error.
Reading Specifications and Contracts
Structure of a Specification (Scope of Work)
The specification is a contractual document that specifies materials, finishes, and methods. It generally includes:
Essential Contractual Vocabulary
Exam Trap: a specification states "birch plywood, finish grade, or equivalent". The subcontractor proposes MDF with veneer. This is non-compliant because MDF does not have the same structural strength or dimensional stability. "Equivalent" does not mean "different", but "of equal performance".
Interpretation of Wood Specifications
The specification may identify a species by its commercial name or its botanical name. Examples:

The moisture content of wood must be 6 to 8% for indoor furniture in Canada. If the specification requires "kiln-dried wood", the content must be verified with a pin-type moisture meter. A difference of more than 2% between two pieces intended to be glued will cause warping.
Oral and Written Communication with Clients
The Request for Information (RFI)
When a drawing or specification is ambiguous, the cabinetmaker must issue a Request for Information (RFI) in writing. The RFI must contain:

Area Calculation: Area (m²) = (Width × Length) / 1,000,000. For 600 mm × 1200 mm: (600 × 1200) / 1,000,000 = 0.72 m².
Cutting Losses: allow 10% waste for solid wood (defects, knots, test cuts) and 5% for engineered panels. If the list indicates 0.72 m² of panel, order 0.72 × 1.05 = 0.756 m², rounded up to the next commercial sheet size.
The Board Foot Calculation
In Canada, solid wood is often sold by the board foot (fbm) . Formula:
Board feet = (Thickness in inches × Width in inches × Length in feet) / 12
Example: a board of 2 in × 6 in × 8 ft = (2 × 6 × 8) / 12 = 8 fbm.
Metric Conversion: 1 fbm = 2.36 liters of volume = 0.00236 m³. For a piece of 20 mm × 80 mm × 720 mm: volume = 0.02 × 0.08 × 0.72 = 0.001152 m³ = 0.488 fbm.
Exam Trap: the formula uses nominal thickness (before drying and planing), not the finished thickness. A "2-inch" board actually measures 1.5 inches once finished. Cost calculation is based on the nominal dimension.
The Non-Conformance Report (NCR)
The NCR is a formal document used when a product does not meet specifications. It must include:

Canadian Electrical Code, Part I (CE Code)
Shop machinery (saws, jointers, routers) must be installed and connected according to the Canadian Electrical Code, Part I. Relevant rules include:
Practical Application: a 3 HP (2.24 kW) table saw at 240 V draws approximately 9.3 A. On a 20 A circuit, the load is 9.3 / 20 = 46.5%, compliant. But if you plug two 3 HP machines into the same circuit, the total load reaches 18.6 A, or 93% — non-compliant with Rule 8-200.
CSA B149.1 — Natural Gas and Propane Installation Code
This standard applies if your shop uses gas appliances (dryer, glue heater). Key requirements:
Practical Rule: any gas appliance must have a visible CSA certification label. Never modify an appliance without consulting the standard.
CSA O113 — Plywood and Panels
The CSA O113 standard classifies plywood by use: Interior, Exterior, Marine. For a kitchen cabinet, the plywood must be classified "Interior" with a face grade of "A" (no visible defects) or "B" (minor repaired defects). The specification may require "CSA O113, face A/B" — face A visible, face B hidden.
Communicating Safety Instructions
Safety Data Sheets (SDS)
Every chemical product used (glue, stain, varnish, thinner) must have an SDS accessible in the shop. The SDS contains 16 sections, including:
WHMIS Rule: every container must be labeled with the hazard pictogram and the product name. An unlabeled container is an infraction. On the exam, you may be asked what PPE to wear when spraying varnish: organic vapor cartridge respirator, nitrile gloves, tight-fitting safety goggles.
Incident Reporting
Any incident (injury, near miss, property damage) must be reported in writing within 24 hours. The report must include:

Use of Documentation Technologies
CAD and CAM Software
The modern cabinetmaker uses Computer-Aided Design (CAD) software such as AutoCAD, SketchUp, or Cabinet Vision. Computer-Aided Manufacturing (CAM) generates toolpaths for CNC machines.
